Making phone calls
Calls can be made either by inputting the number and then:
- Picking up the handset
or
- Pressing the Speaker Button

Or by picking up the handset and dialing the desired number. After a brief pause, the number will dial out.Answering Calls
If the phone rings while not on a call, simply pick up the handset, or press the Speaker Button

for hands-free.
Should the phone ring while you are on a call, press the ringing Line Button. This will automatically place the previous call on hold. Once you have disposed of the call, return to the first call by pressing the flashing red Line Button.
Placing calls on Hold
Calls can be held manually by pressing the Hold Button

or automatically when initiating another call or task such as a conference call.
In fact, the only time it is necessary to use the Hold Button is if you plan to have a conversation with a colleague in person, or you need to perform some activity with the intention of returning to that call. All other phone-related actions such as Conference, Intercom, Page, Park, or Transfer will automatically place the call on hold.
Transferring Calls
Call transfers
do not require using the Hold Button. While on the call, press the Transfer Button

which will immediately place the 1st call on hold while opening the 2nd line for you to dial the destination extension, ring-group, or queue.
For Direct(Blind) Transfer: While on the call, press the Transfer Button (caller now on hold). Enter the digits of the colleague's extension. press the Transfer Button again.
For Attended(Warm) Transfer: While on the call, press the Transfer Button (caller now on hold). Enter the digits of the colleague's extension and press Dial or a Line button or just wait for automatic dialing. When your colleague answers you, press the Transfer Button for the 2nd time.
For Semi-Attended Transfer, without waiting for the target to accept or acknowledge the transfer, wait for ringing, then simply press the Transfer Button again.
Conference Calls
Conference calls do not require using the Hold Button. While on the initial call, press the Conference Button
which will immediately place that call on hold while opening the 2nd line for you to dial the destination extension or external phone number. Dial the number of the 2nd participant (extension or outside number). Wait for them to answer, then once you have them on the line, press the Conference Button again, bring all participants together.
Note: Your NetOfficePBX System includes a Conference Bridge for multi-participant conference calls.
Redial
Press the Redial Button
to call the last number dialed. Navigation Keys
When interacting with the screen including the History, Phonebook or Directory, or Menu Soft Keys. Also used to navigate the various Menu icons within the menu.
The 4 directional arrows allow you to move to the target item and the center checkmark button is used for "Accept" or "OK".
Soft Keys
Soft-Key labels appear on the screen above the 4 Soft-Key buttons. Each button corresponds with the on-screen label directly above it
The label names change depending on the context, or, what you are doing on the phone at that moment. During a call, the options will be different vs when the phone is idle.
While on a call the labels will show the actions that are possible within the context of the call such as Hold, Transfer, Conference, or Park
Call History
While the phone is idle, the History Soft-Key can be used to locate calls made and received. Use the Navigation Keys to scroll the list and the OK Center Button to select an entry.
A selected record can be dialed, saved to the Phonebook, or deleted by using the soft keys displayed
Voice Mail
Voice Mail can be set up and accessed by pressing the Voice Mail Button
which also alerts you to the receipt of new messages by blinking green or by unread messages when solid green.

The handset microphone is very sensitive so covering it with your hand may not be sufficient to prevent a caller from hearing your conversation.
Therefore it is advisable to use the Mute Button
should you need to speak to a colleague while someone is waiting on the phone line. The LED is red while mute is activated. Phone Book or Directory
Depending on how your NetOfficePBX System has been programmed, this Soft-Key will be displayed as Phonebook or Directory
Phonebook: If it is labeled Phonebook, you can add your own contacts either by using the Soft-Key or by adding from your Call History. The Phonebook is not shared and is exclusive to you, the user of that phone.
Directory: This is programmed on the system and is shared by everyone in your organization. Typically it is not possible to add contacts directly, instead contact addition and edits will be implemented by an Admin
Used for controlling both the ringer volume and the in-call volume the Volume Control Buttons adjustment depends on if the phone is idle or being used for a call.
For Ringer Volume: While the phone is not on an active call, press the "+" or "-" key until the ring is at the desired level. That level remains until the phone is powered off.
For In-Call Volume adjustment: While on a call, press the "+" or "-" until the sound is at the desired level. That level is reset when the call is disconnected.
When programmed, BLF Buttons show the status of a colleague's extension and also provide 1-touch dialing to that extension

Rob however is on a call, so his icon is Red and the button LED is red also
It is also possible to transfer to a BLF user. While on a call, press the Transfer Button or Soft-Key then the recipient's BLF Button to complete the transfer

Paging
When enabled on your phone system, the button labeled Page is used to broadcast to all phones in the paging group.
Press the button, you will hear a short tone after which you can make your announcement. All the otherwise unoccupied phones will go to speakerphone mode and your message will be heard from each phone's speaker.
If there are Paging speakers connected to the system they will also broadcast your message.
Parking
If configured, the Park Button and Soft-Key are used to place a caller on hold so that the held call can be retrieved from any phone. Whereas calls placed on hold can only be picked up by the person who put that call on hold.
While on a call press Park, putting the call in the parking system. The LED indicator will start to flash red on all the phones, alerting users that the call is parked. Anyone now can pick up that call. If the call is not retrieved with the pre-set interval it will ring back to all phones and the Caller ID will be prefixed with "HLD:" to identify that call.
